Months before the first delegate arrived, Vision Three Sixty was already coordinating across borders. Working closely with the World Bank’s South Asia education team, we planned every detail, from agenda flow and venue layout to delegate movement and protocol. International participation required precise coordination, including hotel reservations, airport pick-ups and drops, and visa processing guidance for regional delegates. Behind the scenes, our team mapped seating plans, breakout rooms, technical requirements, and branding placements, ensuring that when delegates arrived, they stepped into an environment built for focus, dialogue, and collaboration.

Flawless Operations A Regional Ecosystem in Motion

Over the course of the conference, Vision Three Sixty managed a full operational ecosystem: Delegate registration and hospitality desks. Hotel coordination and transport scheduling, Airport transfers and departure management, Speaker cueing and session flow control, Parallel plenaries, panels, and breakout sessions, Technical coordination across AV, lighting, and projection. Every moment ran on time, every transition was seamless - allowing participants to concentrate fully on knowledge exchange and regional learning.

Design & Experience A Conference with Identity

We designed a cohesive visual and experiential identity that reflected both the academic seriousness and regional collaboration spirit of the conference. From stage backdrops and signage to thoughtfully produced conference materials: water bottles, calendars, tote bags, diaries, and pens - every touchpoint reinforced a shared purpose. The venue became not just a meeting space, but a regional learning environment where ideas could move freely across borders.

Technology & Documentation Capturing Knowledge in Motion

A dedicated Vision Three Sixty audio-visual team documented the conference in full: Cinematic hero video capturing the South Asia learning narrative Professional photography of plenaries, country sessions, and interactions.
